Anaesthetic logbook apps range from simple on-device case lists to cross-platform systems with structured reports, cloud backup and portfolio exports. A polished home screen matters less than what happens after you have logged several hundred cases.
Use this checklist before moving your data or committing to a subscription.
1. Case entry must be genuinely fast
You will use case entry far more often than any report. Look for procedure search, sensible defaults, reusable templates and a clear review step. The app should capture enough structure for later reporting without asking irrelevant questions on every case.
Test it with a normal list: a straightforward general anaesthetic, a regional case and something with multiple procedures. If each entry needs repeated navigation or extensive free text, consistency will suffer.
2. It should work without hospital signal
Patchy connectivity is normal in theatres. An offline-first anaesthetic logbook lets you record a case immediately and deal with cloud synchronisation later. Check what “offline” actually means: can you create, edit and search entries, or only view previously loaded pages?
If the app syncs across devices, it should make status and recovery clear rather than leaving you to guess whether an entry is safely stored.
3. Reports should match your real review needs
UK trainees should compare the output with current RCoA logbook guidance and local ARCP requirements. Useful summaries normally need filters for date or placement and breakdowns by specialty, age, urgency, ASA, supervision and techniques.
Consultants may care more about appraisal periods, private and NHS activity, special-interest practice and evidence for revalidation. A flexible system should support different stages without forcing everyone into one report.
4. You must be able to take your data with you
Export is not an optional extra. Look for a complete, human-readable export such as JSON, CSV or XLSX and a stable PDF for submitted reports. Make a test export before you need it.
The SCATA standards for anaesthetic logbooks treat full human-readable export as essential. An app should also explain account deletion and what happens to cloud data after you leave.
5. Privacy rules should be clear
An anaesthetic logbook should not routinely collect patient-identifiable data. Age bands and structured clinical categories are normally enough for reports. Avoid names, NHS numbers, hospital numbers, exact dates of birth, addresses and patient images.
Read the privacy policy. Check who can access your logbook, which providers store data, whether clinical information is used for analytics or research, and how to delete it. If the answers are vague, ask before importing real records.
6. Choose for the devices you may use next
An iPhone-only app may suit you today, but web and Android access reduce the risk of being stranded after a device change. A progressive web app can offer installation and offline use while keeping a browser-based route to your data. Desktop access is particularly useful for reviewing cases and preparing reports.

- Can I export every case in a readable format?
- Are backup, recovery and sync behaviour explained?

- Does it avoid patient-identifiable information by design?
- Will I still have access if I change phone or platform?
- Is support active and is recent development visible?
A note on spelling
“Anaesthetic logbook”, “anaesthetics logbook” and “anaesthesia logbook app” are all common UK descriptions. In the US and some other countries, the same category is usually called an “anesthesia logbook” or “anesthesiology case log”. App features and local reporting requirements matter more than the label.
